Cancellation Policy

SMPRP Board of Trustees External Meeting for Sponsorship Feasibility Booking Policy Purpose To establish a clear and consistent process for booking external meetings for sponsorship feasibility with the Board of Trustees of SMPRP. Scope This policy applies to all external meetings involving the Board of Trustees of SMPRP for sponsorship feasibility. Booking Process Request Submission: External parties must submit a formal meeting request via the SMPRP website or email. The request shall include: Purpose of the meeting Proposed date and time List of attendees Any other specific requirements (e.g., equipment, catering) Review and Approval: The Secretary of the Board will review the request and forward it to the Chairperson for approval. Approval is based on the relevance and importance of the meeting to SMPRP's objectives. Scheduling: Once approved, the Secretary will coordinate with the external party to finalize the date, time, and location of the meeting. The Secretary will also ensure that all necessary arrangements (e.g., room booking, equipment setup) are made. Confirmation: The Secretary will send a confirmation email to the external party, including the meeting agenda, location, and any other relevant details. Cancellations and Rescheduling: Any cancellations or rescheduling requests must be made at least 48 hours in advance. The Secretary will notify all parties involved and make necessary adjustments. Meeting Conduct Punctuality: All parties are expected to arrive on time. Agenda Adherence: The meeting should follow the agreed agenda to ensure efficient use of time. Confidentiality: Any sensitive information discussed during the meeting must be kept confidential.
